JOB SUMMARY:
The Greenrock Office Manager is responsible for overseeing the daily operations and efficient functioning of the Greenrock Office. This position is the first point of contact for visitors and clients as well as a central point of contact for employees. The Greenrock Office Manager supports both the administrative and operational functions of the office. This position is full-time and is on-site, 5 days a week. The Office Manager reports to the Director of Administration.
The Greenrock Corporation advances the National Trust’s Mission by providing property management services to historic property owned by the National Trust, including ongoing maintenance, repair, rehabilitation, landscaping, security, and conservation.
DUTIES AND AREAS OF RESPONSIBILITY:
- Answer the main telephone line.
- Manage and order office supplies, uniforms, and office mail operations.
- Manage office equipment.
- Assist with coordinating staffing, set up, and event calendars.
- Input employee timecard data into Microsoft Access for accurate client billing.
- Scan timecards to company server for secure storage, accessibility, and recordkeeping.
- Assist with organizing and maintaining company records in compliance with the established record retention schedule and regulatory requirements.
- Assist in the onboarding process for new hires.
- Provide payroll support coverage as needed.
- Monitor and maintain employee PTO records.
- Ensure vendor W-9s, riders, and certificates of insurance are up to date and meet insurance requirements.
- Monitor and update registration and insurance information for company vehicles and equipment.
- Organize company sponsored gatherings and events.
- Assist in scheduling quarterly board meetings.
- Provide administrative support and perform other duties as assigned.
EDUCATION, EXPERIENCE AND SKILLS:
Required
- Minimum of 2-5 years’ work experience in administrative/office manager role in professional environment.
- Bachelor’s degree in a related field of study.
- Possesses strong, interpersonal, organizational, and communication skills (both written and verbal).
- Proficient in Microsoft Office including Word, Excel, Access, and Outlook.
- Able to pass a criminal and financial background check.
- Positive attitude, self-starter, team oriented.

PAY & BENEFITS:
This is a full time (35 hrs/week), salaried position, eligible for full benefits, including affordable health, dental, vision and life insurance, retirement plan contributions, paid vacation, plus sick time and holidays. The annual salary is $70,000.
