Job Summary:
The National Fund for Sacred Places (“National Fund”) is a program of Partners for Sacred Places in collaboration with the National Trust for Historic Preservation. The National Fund provides financial and technical support for community-serving historic houses of worship across America. Congregations accepted into the National Fund program receive wraparound capacity-building support and technical assistance, along with matching capital grants of up to $500,000 primarily supporting urgent repair needs.
This position reports to the Associate Director of Grants within the National Trust Grants Team. They will report with a dotted line to the Senior Director of Preservation Programs, who leads the National Trust staff team working on the National Fund and will work closely with the National Fund team internally and externally (particularly staff at Partners for Sacred Places). The Associate Manager of Grants is detail-oriented and an excellent communicator, with strong project management and organizational skills, who works effectively and independently as part of a geographically dispersed interdisciplinary team. The Associate Manager of Grants is team-oriented and actively collaborates with grantees, colleagues, partners, and allies.
The Associate Manager of Grants, National Fund for Sacred Places, will collaborate across the organization to achieve the National Trust’s mission as well as the Preservation Services & Outreach (PS&O) Department’s purpose of strengthening the national historic preservation movement to save historic places that tell the full American story.
This position is supported by dedicated grant funding and is therefore subject to the continued availability of funds now and in the future.
Duties:
Working with the National Fund team, and under supervision of the Associate Director of Grants and the Senior Director of Preservation Programs, the Associate Manager of Grants is responsible for:
- Help manage intake information for new National Fund grantee cohorts: 30-40 congregations per year. This would include downloading information from applications (the National Trust uses the Foundant grant management system), organizing information in a shared drive, and entering information into monday.com, which the National Fund uses for project management.
- Help manage grant agreement process for National Fund. Create (based on templates) 10-15 grant agreements per year (for the first year, with that number likely doubling in the next year), circulate for internal approval and signature, and send to grantees. Follow up with grantees and National Trust staff as needed. Keep payment status and information in monday.com up to date.
- Help manage collection of payment information from grantees and submit payments for 18-25 per year (for the first year, with that number likely doubling in the next year), to the finance team. Communicate with National Trust staff, National Fund team, and grantees on deadlines and payment timeframes.
- Become proficient in the Foundant grant management system and assist grant seekers and grantees with questions and technical issues with Foundant by email and phone.
- Support grantees by delivering grant contracts and payments in a timely manner.
- With Associate Director of Grants, review proposed revisions to grant applications and forms, and update materials in Foundant as necessary
- Maintain organized and up to date grantee files, including transferring applications, photos, and supplemental materials from grant system to shared drives. Regularly update and maintain electronic files for awarded grants using Foundant grant management system and monday.com project management system.
- Participate in grant application review process for the National Trust team (typically 300 – 500 applications received annually); assist with compiling grant review materials as well as reviewing applications/follow-up materials and preparing evaluations.
- Maintain an in-depth knowledge of all aspects of the National Fund program and of other preservation-related programs of the National Trust.
- Attend annual National Fund cohort training, potentially attend final site visits when capital grants are completed.
- Complete other duties and special projects as assigned.
- Additionally, the Associate Manager of Grants will serve as a team member working across the Preservation Services & Outreach department and across the National Trust supporting other programs and grants, such as such as America’s 11 Most Endangered Historic Places, Preservation Funds, Diversity Scholars Program, Backing Historic Small Restaurants, etc.
Qualifications:
- At least 3 years of professional level experience, particularly in a matrixed and geographically dispersed non-profit.
- Experience managing and coordinating projects. Excellent organizational skills, work management skills and attention to detail are essential.
- Knowledge of historic preservation and/or religious organizations a plus.
- Work experience/education/significant volunteer activity in program administration, non-profit administration, or grants management is preferred, with experience in customer service setting a plus.
- Advanced organizational, analytical, and problem-solving skills, including issue identification and prioritization.
- Ability to achieve results with general supervision.
- Excellent writing, spelling, grammar, and proofreading skills, as well as strong verbal communication and customer service skills.
- Proven ability to work effectively within a geographically distributed organization and across internal departments and programs.
- Ability to prioritize, multi-task efficiently and respond to a high volume of ongoing requests in a timely fashion. Ability to adapt and be flexible in a dynamic work environment. Ability to work effectively with frequent interruptions required. Able to handle frequently changing and/or unscheduled tasks with accuracy.
- Proven ability to continually develop skills related to the use of rapidly changing technology and communications best practices.
- Demonstrated cultural competency and success in engaging with underrepresented communities, constituents, partners, and colleagues. Ties to diverse affinity groups, professional organizations or related associations a plus.
- Proficiency in Microsoft Word and Excel required, as well as with virtual meeting platforms Microsoft Teams and Zoom. Proficiency with project management tools/software is a plus. Familiarity with other software, including databases, a plus.
- Demonstrated interest in, and commitment to, the values and goals of the National Trust.
- Regular and reliable attendance is required.
- Some travel may be required.
PAY & BENEFITS
This is a full time, non-exempt-level position, eligible for full benefits, including affordable health, dental, vision and life insurance, retirement plan contributions, paid parental leave, and 3.5 weeks of paid vacation, plus sick time and holidays.
Hiring range: $31.59-32.97 per hour (annualized to $57,500-60,000 based on a schedule of 35 hours/week)
